Book an inbound shipment

This process is only applicable for shipments where:

  • the Await Cost Check function is active
    or
  • the Await Cost Check function is not active, but no landed costs were defined on the shipment.

The shipment should be booked when all the actual landed costs are known and have been entered in the shipment.

The following happens when the shipment is booked:

  • goods are booked into stock and thereby are available for sale.
  • purchase statistics are updated.
  • standard cost, last purchase cost and average cost is updated in the Item file.
  • bookkeeping transactions are created.

Booking goods into stock can be done in the following two routines:

  • Work with purchase orders, where you book an individual order line. In Item view mode, click the Book receipts option. Note: Lines included on a shipment cannot be booked using this option.
  • Work with inbound shipments, where you book all order lines included in the shipment.

The following describes how to book the lines on a shipment using the Work with inbound shipments routine.

Prerequisites
The status of the shipment has to be 45, i.e. the receipts are closed. The purchase order line status for all lines included in the shipment has to be 50 (receipts closed).

  1. Select the Work with inbound shipments menu item.
  2. You access Work with inbound shipments, Headers. Select the applicable shipment and click Book.
  3. You remain on the same panel. The status has now been changed from 45 to 60. The shipment is booked.
