Credit with document handling
The normal work flow for crediting the customer is:
- Enter the credit order (via copying the sales order or invoice).
Tip: You can, optionally, enter the original invoice number in the Inv ref field on the order header. The invoice must exist in the Accounts Receivable. In addition, the remaining amount on the invoice in the Accounts Receivable must not be zero.
- Print the Order confirmation document (if the order type indicates a printout of this). You send this to the customer to inform them that a credit will be done and that they can send the goods back to you.
- Print the In-Picking list document (from the Print pick list menu item) when you receive the goods back from the customer.
- Confirm the In-Picking list. Stock on hand is updated with the returned goods. Tip: You can, if you want, move these non-conforming goods into NCC stock at a later time to ensure they will not be shipped again.
- Print the Invoice (Credit note) and send it to the customer. Note: If you entered an invoice number in the Inv ref field on the credit order header, this invoice will automatically be settled by the credit note.
Note: The order header always has the same status as the highest status you can find for any order line below 60. When the order header = 60, all order lines also = 60. (Status 00 in the order header means no order lines have been entered for the order).
Status | Description |
---|---|
10 | The order line has been entered into the system and is ready for printing on customer’s credit (order) confirmation. |
20 | The order line is ready for the printing on In-Picking list. |
30 | The In-Picking list has been printed for this line and is ready for In-Picking list confirmation. |
45 | The In-Picking list is confirmed. The credit note is ready to be printed. |
60 | The credit order line is invoiced and ready. |
Price correction order
Since you are correcting a price for an invoice that has already been sent to the customer, the normal work flow for a price correction order is:
- Enter the credit order (via copying the sales order or invoice).
Tip: You can, optionally, enter the original invoice number in the Inv ref field on the order header. The invoice must exist in the Accounts Receivable. In addition, the remaining amount on the invoice in the Accounts Receivable must not be zero.
- Correct the price on the line. (i.e. you enter the difference that should be discounted).
Note: For a surcharge, see Surcharge an incorrect invoice price.
- Print and send the credit note.
Note: If you entered an invoice number in the Inv ref field on the credit order header, this invoice will automatically be settled by the credit note.
