The cash and carry sales routine is used when goods are sold directly to your customer, enabling quick entry of over-the-counter sales. Sales orders are entered. Cash receipts or invoices (paid-in-full, zero balance) are printed on-the-spot and handed to your customer. It handles cash, credit card and cheque sales.

The processing is similar to that of processing sales orders with the difference being that your customer is not sent an invoice for the sale. Sales orders are entered and payments are received at the end of each transaction.

You have several options from which to choose when entering cash and carry sales. You can:

  • enter sales orders for existing customers that have their account details registered in the Business partner file
  • enter sundry cash sales orders using a general customer number you define in the Customer file (e.g. customer number “CASH”)

You may also settle the cash and carry sale by:

  • entering a cash payment
  • entering a credit card payment

If you have DC1 Financials installed then you may use the Order Summary functionality to enter cash, credit card and cheque payments. The advantage of using the Order Summary functionality is as follows:

  • Credit cards are authorised interactively
  • Payments are automatically updated in Accounts Receivable (A/R) therefore reducing administration time.

Enquiries and printouts

  • Sales order enquiry
  • Invoice enquiry (Tip: A copy of a cash receipt can be printed by clicking Print invoice in this program).
  • Warehouse balance enquiry to view the stock on hand for the warehouse from which the goods will be taken.
  • Time axis enquiry to view the actual stock on hand for the item and warehouse used on the order. Tip: If you enter warehouse code 999, the total quantity for all warehouses in which this item is stored will be displayed.
  • Printed cash receipt
  • Cash sales journal printout
  • Credit card settlement report printout
  • Daily order settlement report printout
