The reporting of these quantities differs, depending on if the counted quantity is less than or greater than the stock on hand quantity.
Steps 1 through 6 illustrate an example where the counted quantity is less than the stock on hand quantity. Steps 7 through 9 illustrate the opposite, that is the counted quantity is greater than the stock on hand quantity.
Less than stock on hand
When the counted quantity is less than the stock on hand, do as follows:
- Select the Work with stock takes menu item.
- On the initial panel, select the applicable list number and click Report count.
- You access Stock take entry. Complete the following fields:
- List number
- The selected list number is automatically retrieved, but can be changed.
- Line number
- This field can be used to allow other users to work with the same stock take list but outside the range of lines you enter here. Enter the (from-to) line number, that is shown on the stock take list printout you are going to work with. The entered number interval will be locked for other users until this panel is displayed again. If nothing is entered in this field, all lines will be selected and locked.
- You access Stock take entry, all lines. Enter the counted quantity for the applicable line which contains a serial number controlled item and click OK to update the total counted value.
- If the counted quantity you entered in the above step is less than the quantity on hand, you access Serial number entry with Qty (to del). Assume that the counted quantity entered is 5, but the quantity on hand is 10. The quantity of 5 will therefore be displayed in the Qty (to del) field, meaning you must delete 5 individual items.
- Stock take
- The stock take list number.
- Line
- The line number.
- Item
- The item code and description.
- Qty (to del)
- The number of serial numbers (individual items) you have to delete.
- Serial number
- All serial numbers in stock for the actual item.
- Bin loc
- The bin location where the individual items are stored.
- You return to Stock take entry with the entered quantity.
Greater than stock on hand
When the counted quantity is greater than the stock on hand, do as follows: - Repeat steps 1 through 4 as outlined above.
- If the counted quantity you entered in the above step is greater than the quantity on hand, you access Serial number entry with Qty (to add). Assume that the counted quantity entered is 5, but the quantity on hand is 0. The quantity of 5 will therefore be displayed in the Qty (to add) field, meaning you must add 5 individual items.
- Stock take
- The stock take list number.
- Line
- The line number.
- Item
- The item code and description.
- Qty (to add)
- The total number of individual items you have to add.
- Number mask
- Defines how the system shall build the serial numbers as proposal on the next Serial number entry panel. You can enter the following:
- Fixed part value
- A part of the serial number that is equal for all serial numbers. If underscores have been entered in the same position in the Number mask field, they will be replaced by this fixed value.
- Serial number range
- If the Number mask field contains any dots, they will be replaced by digits from the entered range. The system automatically proposes a range according to the quantity you are adding to the stock.
- Bin location
- Since the bin location is mandatory on the panel shown in the next step, you can complete this field. The bin location entered here will be suggested for all serial numbers on the next panel.
- Number mask = ____…….__ (4 underscores, 4 dots, 2 underscores)
- Fixed part value = ABCD YY
- Serial number range = 1 – 5
- You access Serial number entry, where you have the following options:
- If the Number mask, Fixed part value and Serial number range fields were completed on the previous panel, the system will propose serial numbers according to the quantity you added to stock. You can accept these serial numbers by clicking OK.
- You can click Change mask to change the mask and let the system propose new serial numbers.
- If serial numbers are proposed, you can change them manually.
- You return to Stock take entry with the entered quantity. Exit the routine.
Click OK.
The following fields are displayed:
Mark the serial numbers (i.e. individual items) you want to delete and click OK.
The fields on this panel are used to automatically propose serial numbers when adding items into stock. The system defaults the serial numbers according to what you enter on this panel. Note: If you want to enter serial number manually, leave these fields blank.

Serial number example
If you enter the following:

Note: The serial numbers proposed by the system is only a suggestion. They can be changed on the Serial number entry panel regardless of how the Mask is defined.
Click OK.
Click OK when serial numbers for the item have been entered.
