Print a stock take control list

You print a stock take control list as a tool to identify any differences between counted quantities and stock on hand quantities that have occurred during the stock count procedure. Based on the content of the stock take control list one or several recount lists can be printed.

The stock take control list can be printed either on detailed or summary level. Detailed level means that the list contains information about counted quantity, counted difference value and user id, date and time for the last count or every reported count. A summary line per item is always printed but, if requested, only a summary list can be printed.

Note: You can print the stock take control list as many times as required.

  1. Select the Work with stock takes menu item.
  2. On the initial panel, mark the applicable list and click Print control list.
  3. You access Stock take control list printout. Complete the following, applicable, fields:

    The selected stock take list number is defaulted, but can be changed.
    Previous counts
    Indicate if you want to print information from previous counts or only from the last count. This is only applicable when you have performed a recount one or several times. Set this field to YES if you want to print the information from previous counts for each item. (Note: Information about previous counts will only be printed if both this field and Print details are set to YES). If you set this field to NO, only last count will be printed.
    Difference only
    Set this field to YES to print only the item lines with a reported counted quantity different from stock on hand quantity. If you set this field to NO, all lines will be printed.
    Cost difference
    If you enter a cost difference, the item line will only be selected if the stock take difference for the item expressed in cost value is greater than the value you enter in this field. If this field is completed, the Difference only field must be set to YES. See Example: Calculated total estimated cost difference for a stock take list for more information.
    Details
    Set this field to YES to print the detailed and summary line. Set to NO to print only the summary line.
    Owners
    This field is only displayed if the STKOWNER (Stock Ownership) function is activated in the Function control file and is applicable for both the Stock ownership functionality as well as the Contract Managed Inventory functionality (if the DC1 Contract Managed Inventory (CMI) application is activated). If you want to include any internal owners (applicable for the Stock ownership functionality), and/or external owners (applicable for the CMI functionality for Customer Deposit Stock (CDS) and Supplier Consignment Stock (SCS) inventory contracts) on the printout, set this field to YES. Under the Owner column on the printout, the cost centre will be listed for any internal owners and supplier/customer will be listed for any external owners.

    You will receive a printout outlining any differences between the counted stock and the stock on hand. As stated earlier, you can print this list as many times as required, enabling you to combine different scenarios. Based on the information on the stock take control list you can produce recount instructions. You can repeat this procedure until you are satisfied with the quantities displayed. Furthermore, the list can be sequenced according to the estimated cost value difference in descending order in order to find the items with the biggest difference, so that these can be handled as soon as possible.
