Restrict the use of an item template

The template security function is an extra security measure which can be taken to enhance the protection of data in the Item file, thus prohibiting other users from using the template and changing any data for the item.

  1. Select the Work with item templates menu item and enter the applicable template id in the Template field and click OK.
  2. You access Work with item templates. Set the Template secured field to YES. Click OK to update and then Back to exit.
  3. Select the Work with item template security menu item.
  4. You access Item template security maintenance where you can choose to secure the template via the following two methods:
    1. If you enter your template id in the Template field you will prompt a panel listing all User profile id’s in the system. You can then select those users that are allowed to use your template.
    2. If you enter your user id in the User profile field you will prompt a panel listing all templates that are secured.

    For the purpose of this example, enter your template id in the Template field and click OK.

  5. You access Item template security maintenance listing all user profile id’s (scroll to see all). This is the panel where you define the users that are allowed to use your template id in both Item file maintenance and Item file enquiry. Grant access to your template by setting the Maint and Enq fields to YES for the applicable user. Click OK to update and then Back to exit.

    6. More protection
    To prohibit anyone from changing the security value in Maintain item template security, more steps should be taken.

    Note: These steps are to ensure that unauthorised users cannot grant themselves access to the Item file template and default maintenance and should only be done by a Systems Manager.

    On the SECUR menu, the following programs must be defined with information and in the order outlined:

    1. Work with program security: program id’s for Work with item templates and Work with item defaults must be set up in this program.
    2. Work with program/user security: only those users that have access to the Work with item template security program, thus being able to change security values, must be set up in this program.

    When this is done, no other user will be allowed to use this template during Item file maintenance or Item file enquiry.
