Show A/P balances

In the A/P transactions enquiry you are able to gain direct access to the balances for the supplier you are working with, displayed on cost centre level or on company level. The following describes single selections on these levels but there is, of course, a possibility to combine them.

You can either select the different levels directly on the A/P transactions enquiry – Selections panel and click Balances, or you can choose an existing template. Here, we will use the first suggestion.

Prerequisites
To be able to select on Cost centre, the Cost centre account part must be defined in the G/L control file. This is done at installation time and may be any account part except the main account part.

Note: You can also select on Division, if the division concept is activated, although this is not shown here.

When you enter the A/P balances enquiry from another enquiry program where selections were made, these parameters will be passed to this enquiry program.

  1. Select the A/P transactions enquiry program.
  2. You access the first of three panels in the program with the last used template defaulted. If no parameter was passed from the previous enquiry program, then enter a value in the following field:
  3. Supplier number

    Select A/P balances from the Function list and click OK.

  4. You access A/P balances enquiry – Primary and system currencies with the balances on supplier level. This panel displays the selections made on the previous panel. To view the result of another selection, you blank the field that is selected, and enter a value in another field. For example the following fields:
  5. Supplier number
    Leave the field blank.
    Cost centre
    Enter a cost centre.

    Click OK.

  6. You remain on the same panel now showing the balances on cost centre level. To view balances on company level, blank out all fields and click OK.
  7. You remain on the same panel now showing the balances on company level.
  8. Grand total
    This field displays the name of the company for which the grand total is selected.

    Tip: Click Shift curr to show the balances in primary and reporting currencies. Exit the routine.
