You have the possibility to view the balances for a debtor, for a cost centre and for the entire company. Single selections are shown on these levels but there is, of course, a possibility to combine them. You can access the A/R balances enquiry program directly or select the program via the Function list on the A/R transactions enquiry panel. And, you can either select the different levels directly on the A/R transactions enquiry panel (which is done here) or on the A/R balances enquiry panel and click OK.
Prerequisites
To be able to select on Cost centre, the Cost centre acc part field must be defined in the G/L control file. This is done during installation and may be any account part except the main account part.
You can select on Division, if the division concept is activated, although this is not described here.
- Select the A/R transactions enquiry program.
- You access the first of three panels in the program with the last used template defaulted. See Create an A/R transaction enquiry template for more information on enquiry templates. The following field is relevant:
- Debtor number
- Use the debtor number defined in the template or change to another.
- You access A/R balances enquiry – Primary and system currencies with the balances on debtor level. This panel displays the selections made on the previous panel. To show the result of another selection you blank the field that is selected here, and enter a value in another field. For example the following fields:
- Debtor number
- Leave the field blank.
- Cost centre
- Enter a cost centre.
- You remain on the same panel now showing the balances on cost centre level. To view balances on company level, blank all the fields. Click OK.
- You remain on the same panel now showing the balances on company level.
- Grand total
- This field displays the name of the company for which the grand total is selected.
Select A/R balances from the Function list and click OK.
Click OK.
Tip: Click Shift curr to show the balances in primary and reporting currencies. Click Transactions to enter a new enquiry on A/R transactions enquiry or click OK to exit the routine.
