The following describes how to enter an A/R cash book transaction in the Open batch environment.
- Follow steps 1-4 in Enter a payment and settle it manually with the following exception:
- You access Work with vouchers in batch. This panel displays the voucher that you created along with the batch. Select the voucher and click Liquids.
- On Work with liquids in voucher, click A/R Cash book to enter a new cash book transaction.
- You access A/R cash book details entry. The following fields are relevant:
- Bank currency
- This field will be defaulted with the currency of the bank account or with the system currency if no currency is defined for the account. The bank account is defined for the applied cash book document type by the pseudo name entered in Cash book bank acct in the Document type table.
- System amount
- Transaction ref
- Enter a unique reference for the transaction that will be used in the Cash book reconciliation routine.
- Reason code
- This code provides analysis through the Cash book transaction listing and search facility in the Cash book reconciliation routine.
- Value date
- Text
- Exchange rate period
- The system defaults this field based on the values set for the active template.
- Exchange rate level
- The system defaults this field based on the values set for the active template.
- You access Work with liquids in voucher. The cash book header is marked with an error code as no connected payments have been registered yet. Select the cash book transaction and click Payments to register the connected payment(s).
- You access Work with liquids in voucher, Connected payments, All payments. This panel displays an overview of the payments connected to the selected cash book header. To enter a new payment, click Fnc list and select A/R payments.
- Follow steps 5-6 in Enter a payment and settle it manually to enter A/R payments connected to the cash book header. You can register as many A/R payments, connected with the cash book header, as you want. The sum of all the entered A/R payments should be equal to the cash book header amount. If the amounts are not equal, then the cash book header will be in error and must be corrected in order to update the journal.
- After registering the A/R payment, the system re-displays the A/R payment panel. Register the next payment or if it was the last payment to be registered for this cash book transaction, click Back until you reach Work with open batches. Select the batch you just created and click Update.
- You access Work with batches, Update. Click OK to close the batch and create the journal. Exit the routine.
Instead of selecting A/R payments from the Function list, simply click OK on Batch and voucher headers.
Click OK.
