In the account completion process the system automatically adds the account numbers in the account parts according to your definitions in Work with account completions.
Note: The voucher type you enter dictates if Account completion can take place.
The Account completion function is especially useful when entering repetitive account code details. The system will automate this task by allowing you to set up rules for specified accounts.
You can use this function for the manual transaction entry routine or for transactions that you want to transfer from pre-systems. You can use the entries in Work with account completions to add information to different account parts, thereby simplifying the entry of long account combinations. For example, you may have a transaction where you enter only the main account. The system automatically completes the posting with a project account in one account part, and a department account in another.
For manual entry, the account completion is carried out interactively (you will see the completion entry at the same time on the panel where you can verify it). Optional account parts that you do not enter will be completed by the system if there are any completion rules that can be applied. For batch routines, the completion is performed in the update routine, after a possible account number change, but before pricing. All transactions that you create in connection with the updating (pricing, calculations, redistributions) can also be handled in the account completion routine, if you have defined it.
The account completion is carried out in the following sequence:
- Main account part
- Cost centre account part
- Account part 1, 2, 3, 4, 5, 6, 7, and 8
Note: For manually entered transactions, the account combination can never be completed with the main account, since this account part is mandatory when entering manual transactions.
The system goes through this sequence once, and only the account parts that are blank (or filled out with asterisks, if optional) are completed. The completions that have been made are printed on the G/L transaction detail journal printout. Completion rules on several levels can be created, but the handling is more simplified if the base account is completed with all extra account numbers in one rule.
