The following describes how to set up pseudo accounts for automatic postings to the debtor’s control account, or the creditor’s control account. For security purposes, postings to control accounts are always created automatically by the system through pseudo accounting. The control accounts are not available for manual entry once they have been activated by the system through transaction entry. You can also activate a control account by manually adding it to the Work with control accounts program.
There are two different steps in setting up pseudo accounts for automatic control accounting. These steps are done through the following:
The pseudo account code consists of two different elements. The first is fixed and is here defined on the document type. The second element is variable (optional) and will represent the A/R or A/P group that the customer or supplier is connected to.
As in Set up pseudo accounts for automatic contra accounting, if you want the automatic postings to be specific rather than broad based you can have different control accounts for one customer or supplier. This can vary depending on the document type. However, the system defaults XDDEB for A/R, and XCCRE for A/P final, or XCCRP for A/P preliminary. Note: If you only intend to use the system defaults, then you need only follow the instructions stipulated for the Pseudo account file.
Pseudo account file
- Select the Work with pseudo accounts menu item.
- On the main panel, click Add.
- You access the detail panel. Complete the following fields:
- Pseudo
- Enter a pseudo account of your choice making sure that it is 5 positions in length and begins with an X.
- Description
- Account number
- In the main account part, enter the account number that you want to post the exchange rate variances to.
Work with document types
- Repeat steps 8-10 in Create a pseudo catalogue and connect it to a document type, but select the document type you have which represents the exchange rate.
- On the second Work with document types detail panel, the following field applies:
- Control account
- Enter the fixed part that you created earlier in step 3. Note: It is always only the fixed part that you enter in this field, since the system will automatically combine it with the A/R or A/P group at update.
Click OK to update the program with the pseudo accounts you have defined for automatic control accounting. Exit the routine.
