Working with entry options

Entry options are used during the start of the manual transaction entry routines. The use of entry options is activated in the Entry option table, but is not mandatory. See About starting/closing manual transaction entry for more information about entering transactions without using entry options.

Note: You are only allowed to add, maintain, or delete entry options if you have System Administrator authority.

Entry options can be used for multiple purposes:

  • Defining a default voucher type.
  • Control of which fields are open for input. The initial panel is more simplified if only the necessary fields are shown on the entry panel.
  • Defining which function keys can be used for the entry option.
  • Defining which amount to display in the transaction entry programs, i.e., total amount per voucher number or the total amount of the batch.
  • For financial transactions (bank receipts), the Opening balance and Closing balance fields can be open for input. If such an entry option is used, then the system will check that the entered amount corresponds to the difference between the opening and closing balance. If these amounts do not agree, then it will not be possible to close the batch.

The valid routines for each entry option must be activated. In Work with voucher types, only the routines activated for the defined entry option are displayed and can be activated.

In general, entry options are used to separate the Starting/Closing manual transaction entry program into different menu options. If this is done, then the system will check if the used voucher type is valid for a specific entry option.
