In the process of defining versions in DC1 Report Writer, you define how the information will be sorted and what data to include. The version can be defined by maintaining the version manually or by copying an existing one.
When a report should be printed, you first have to select the report to be printed, then you select what version to use. This means that you can use the same version for several reports.
Key fields
To profit by the tasks in this routine, you must comprehend the term key fields or keys. These are the records in the Work with system statistic keys programs. Examples of keys are:
- Customer number
- Item group
- Item code
In the report description you select the keys to be used in the report. See step 5 in Define description for a version report. In the version you define how to sort the information (keys), as well as which data to be included. For your information an extract of a printout is shown below:

In the version used when this report was printed, the selected keys were:
- Customer
- Item group
- Item code
When you select to maintain versions for an existing, or a new report, all versions that are created for any other report defined with the same selected keys will be shown. You can also choose to list all existing versions.
Example:
The selected keys for report SALES01 are Customer number (key number 119) and Item group (key number 142). The version CUSTOMER is defined for this report. For report SALES02 the same selected keys are defined. When maintaining versions for report SALES02, the version CUSTOMER will automatically be available, and shown.
Note: Versions defined for reports with other selected keys than the ones defined for the actual report, cannot be maintained or selected at printout.
Layout code
In the layout of the printed report shown above, the layout code ¤NO was defined. This means that the code for the keys defined in the version, will be printed on the report. This layout code retrieved the following statistical keys:
- D111024, D219990, D411984, O116069 (key number 139=Item code)
- DOM and OFF (key number 142=Item group)
- 189603 (key number 119=Customer number)
Additionally, the layout code ¤TX was defined. This means that the description for the keys defined in the version, will be printed on the report. Therefore, the layout code (¤NO) also retrieved the following statistical keys:
- Wash m/c Model 525 1100, Refrigerator E/Tech 534, TV 3″ colour LCD Model, Photocopier Ninsan Des (key description of Item code)
- Domestic appliances, Office equipment (key description of Item group)
- Casa Frederica (key description of Customer number)
