The following describes how to set up a day scheme and how to define for which scheme groups it is allowed to use the day scheme.
Prerequisites
- A scheme group must be set up via the Work with scheme groups menu item.
- Wage types must be defined via the Work with wage types menu item.
A complete day scheme consists of; overtime intervals, overlapping intervals, and clocking zones.
Overtime intervals
The overtime intervals of a day scheme are defined per time code. Each time code has its own set of intervals containing wage type, minimum time (the total time inside the interval will be checked and is dropped if it is less than the minimum) and rounding rules. Overlapping intervals
Overlapping intervals are used to create transactions for different types of time (presence, absence, flexitime, etc.) in addition to those created in the base calculation. See Define overlapping intervals of a day scheme.
Clocking zones
The clocking zones are time intervals used in the attesting phase to check if employees have clocked in and out as expected. There are two types of zones; zones for clocking in and zones for clocking out. If these zones are defined all clocking in must be inside the clocking in zone and all clocking out must be inside the clicking out zone.
- Select the Work with day schemes menu item.
- On the main panel, click Add.
- You access Work with day schemes, Day scheme details maintenance. Complete the following fields:
- Day scheme
- Enter the name of the day scheme.
- Description
- Enter a description of the day scheme.
- Scheme type
- Enter the scheme type to be used for this day scheme. Valid codes are:
Code Description 1 Normal 2 Floating 3 Absence - Scheme
- Enter the times when the scheme starts and ends. Enter also the wage type for presence outside working hours. Note: If the scheme stretches from one day to another, an indication has to be made by entering a minus sign next to the from date to indicate that this time is from the day before.
- Working hours
- Enter the actual expected presence, which is the start and end time of the working time. Enter also the wage type for worked hours. Note: For day schemes of type 3 (Absence), this field is used to specify the absence hours that will be calculated when the scheme is used.
- Flexitime/Start
- Enter two times indicating the time period in which it is allowed to start the flexitime. Enter also the wage type for presence outside the defined time period.
- Flexitime/End
- Enter two times indicating the time period in which it is allowed to end the flexitime.
- Lunch
- Enter the normal lunchtime.
Click OK twice to update. - You access the second detail panel where you can maintain the rules for time rounding and overtime. Complete the following fields:
- Accepted deviation
- Enter an accepted time deviation to be used around start and end of working hours. If the employee clocks inside this interval, then time will be calculated as if clocking was made exactly on start or end of working hours. This is normally used when flexitime is not used, but you still want to allow a minor deviation at the start or end of the day.
- Full time required
- Indicate if expected full time is required before overtime. Here, set to YES.
Click OK. - You access Work with day schemes, Attached day schemes where you define for which scheme group(s) a day scheme is valid. Select a scheme group and click Add. This will add the scheme group to the day scheme.
If you have entered overtime in the day scheme, then select the day scheme on the Work with day schemes panel and click Overtime int to add time codes to the different overtime intervals. Exit the routine.
