The following describes how to use the Print control functionality to retrieve contact information when printing the following external documents:
- Sales order confirmation
- Invoice
The contact information that can be printed in the header of the documents are the fax number, phone number, and/or e-mail address of the order handler.
Prerequisites
The following must already exist in the system:
- Signature for the order handler in Work with signatures.
- User profile for the order handler in Work with DC1 user profiles.
In order for the information to be included on the printout, the following must be set up:
- Access the Work with signatures menu item.
- On the initial panel, select the signature to which you want to assign one or several users.
- On the detail panel, click Assign users.
- You access Work with assign users. Select the user(s) you want to assign to the selected signature and click Assign. You may set one of the assigned users as the default (via the Set default option). The Active and Dfl are set to YES respectively for the assigned user(s). Tip: Click Active to only display active signatures. Exit the routine.
- Select the Work with DC1 user profiles menu item.
- On the initial panel, select the applicable user profile and click Client.
- On the DC1 user profile table maintenance, Assign client panel, select the client types that contain the contact information that should be printed on external documents, i.e. FAX, PHONE, and MAIL, and click Activate.
- For each one of the activated client types, click Change to enter the correct parameter values for the user profile.
- Select the Work with business partner print control menu item.
- On the initial panel, click Add.
- You access the detail panel. Complete the following fields:
- Code
- Enter a value to identify the print control code you are creating.
- Description
- Enter a description of the print control code.
- You return to the initial Work with business partner print control panel.
Now you have to link the applicable documents to the created print control code. Do as follows:
- On the initial panel, select the print control code you just created and click Documents.
- You access Work with business partner print control, Documents. Click Add.
- You access the Document details panel where you specify the document(s) that should be linked to the selected print control code which thereby controls the print layout and the information. Complete the following fields:
- Document
- The print control functionality is only available for the following external documents: *ORDERCONF and *INVOICE. Enter that appplicable.
- Contact information
- Set to YES to denote that contact information such as phone number, fax number and e-mail address should be printed on the document. This information is retrieved for the handler (the signature specified above) on the different orders.
- Compress header info
- Indicate if information on document header pages 2, 3, 4, etc. should be compressed.
- Select the Work with business partners menu item.
- On the initial panel, select the applicable business partner and click Chg.
- On the Basic data, click Next to scroll and complete the following field:
- Print control
- Enter the print control code that you created above to denote how external document information should be presented on the printouts for this business partner.
Exit the routine.
In order to be able to connect a business partner to the Print control functionality and its features when printing external documents, you need to create a print control code. Do as follows:
Click OK.

Now that you have linked the applicable document to the print control code, you need to connect the code to a business partner. Do as follows:
Click OK and exit the routine.
