Track and report chemical substances to the European chemical agency

The following procedures are required to track and report chemical substances to the European Chemical Agency.

File/Table To do
Update REACH statistic file The data in the REACH statistics file is based on the substance information in the Item file as well as the inventory transactions into stock. Since the REACH statistics file is not updated during purchase order reception, this is the starting point for retrieving all applicable inventory transactions from the inventory transaction file, and must be run before you create the REACH report. You perform the update of statistical information into the REACH statistics file in either batch or interactive mode.

Depending on the time lapsed and the events that occurred from when you last submitted the REACH report, you can choose to rebuild the REACH statistics file (see below), thereby retrieving/updating transactions from a specific transaction date.

The following events cause eventual updates into the REACH statistics file:

  • confirm purchase order reception notes and return orders
  • confirming stock transfers
  • confirming manufacturing work order

Updating of statistics will occur if:

  • Item arrives to EU area from outside EU
  • Item contains chemical substance information and at least one chemical substance is defined. In addition, the flag for Report in the Item file, Substance information panel must be set to YES indicating that the substance will be printed on the REACH report.
  • Supplier of substance has not previously registered the substance.

Note: Manual inventory transactions and inventory movements are not registered in statistics.

Rebuild REACH statistic file Depending on the time lapsed and the events that occurred from when you last submitted the REACH report, you can choose to rebuild the REACH statistics file, thereby retrieving/updating transactions from a specific transaction date.
REACH report printout Print this report if you want to check if some substances are approaching the registration limit. Recommended that you define the minimum percentage of registration quantity (Min % of reg qty) in combination with a CAS number selection. This percentage will be compared to the usage versus the registration quantity kg/year in the CAS number file. Detail and/or total sums per CAS number will only be printed if the usage % meets the given minimum limit.
REACH report printout – declaration only This is the report that needs to be printed and submitted to the agency for those items that exceed the minimum required quantity of chemical substances.
REACH statistic file reorganisation Run this routine if you want to delete the transactions in the REACH statistics file earlier than a certain date.
