Set up A/R and A/P transaction entry templates

When you set up your transaction entry templates, the procedure is the same if you are defining them for A/R payments and invoices or A/P payments and invoices. The instructions below look at A/R payment entry.

  1. Select the Enter financial transactions menu item.
  2. On the Financial system transaction entry panel, click User template.
  3. You access User defaults maintenance. On this panel you select which templates and defaults you want to define. The following fields are relevant:

    Shows the code for the user profile under which you are working.
    A/R payment entry
    Shows the previously used entry template for your user profile.

    Click A/R paym.

  5. You access A/R payment attributes and defaults. Click Add.
  6. You access the first detail panel. Enter information in the following fields:
  7. Template
    Enter the code which represents the entry template you are adding.
    Description
    Enter a description of the new entry template.

    Default values

    In any of the entry fields you can enter a default value, which will be proposed when you enter transactions for this entry routine, i.e., if the field is defined as open for input. If the field is protected, then the entry field with the default value will not be displayed.

    Click OK.

  8. You access the second A/R payment attributes and defaults detail panel. The system defaults YES for all of the fields. If you do not want the system to display one of the fields during payment entry, set the applicable field to NO.
  9. Attributes

    Set any of the entry fields to YES if the entry field is to be open for input, with or without a default value. Set to NO if the field is to be protected, i.e., the field, with or without a default value, will not be displayed on the payment entry panel.

    Note: The Document date, Debtor number and Doc tpe/no to settle fields must be open for input if a default value was not entered for these fields in step 5 above.

    Click OK.

  10. You access Cash book attributes and defaults. Note: The Cash book entry template will only be shown if the CASHBOOK function has been activated in the Function control file.
  11. The entries in this table are used to create user defined entry panels when entering Cash book transactions. The Cash book entry template is connected to and displayed after the existing G/L, A/R payment and A/P payment templates.

    Default values

    In any of the entry fields you can enter a default value, which will be proposed when you enter transactions for this entry routine, i.e., if the field is defined as open for input. If the field is protected, then the entry field with the default value will not be displayed.

    Click OK.

  12. You access the second Cash book panel.
  13. Attributes

    Set any of the entry fields to YES if the entry field is to be open for input, with or without a default value. Set to NO if the field is to be protected, i.e. the field, with or without a default value, will not be displayed on the entry panel.

    The following fields must be open for input unless a default value has been entered:

    Bank
    Transaction ref
    Reason code

    Click OK to set your attributes and defaults for the template. Exit the routine.
