Sales order or Service order enquiry, Order header (DSR12101)

This is the initial panel for the Sales order enquiry and Service order enquiry (DC1 Service must be installed and activated).

The title differs depending on your enquiry program selection.

The panel’s structure is designed to allow you to quickly navigate through all levels of information for a sales order/service order. On this panel you can do the following:

  • Toggle between Order header and Order line, and Service jobs mode to view different information, while remaining on the same panel.
  • Toggle between Orders not in error and Orders in error mode to view orders with or without line errors.
  • In Order line mode, change the layout of this panel via the entered selection criteria of Customer or Item to view just those order lines for the customer or item.
  • In Order line mode, access a sales order subfile positioned to a selected order line using the Select and position option.
  • Immediately access the following information: Addresses, Order header, Order lines and Detailed order line information.
  • All selection parameters, except for Shipment marking, work as a direct match. Use these parameters to find only the information that is relevant to you.

The orders are sorted according to their number in either ascending, or descending, order. This sequence is controlled by the Order in desc seq parameter in your user profile.

Options

Display Select this option to access the Order header, Main information panel.
Lines Select this option to access the Complete order panel to view all lines for the order.
Text Select this option to access the Display text panel to view the text defined for the order header.
Addresses Select this option to access the Addresses panel to view the address information for the order.
Picking details Select this option to access the Pick details panel to view the picking details for the order.
Profit Select this option to view profit margin information for the order. Note: This option cannot be used if a component is displayed and the structure type has the price calculation code set to 1, 3 or 4. If this is the case, then the sales price and cost for the whole structure are added to the parent item which will display the profit.
Allocation log This option is only allowed if the order is defined for firm allocation. Select this option to access the Allocation log enquiry where you can view the details of changes to sales allocations that were both manually created via the sales order allocation proposal routine and automatically created for the customer for firm allocations.
Main information Select this option to access the Order header, Main information panel.
Additional information 1 Select this option to access the Order header, Additional information 1 panel.
Additional information 2 Select this option to access the Order header, Additional information 2 panel.
Additional information 3 Select this option to access the Order header, Additional information 3 panel.
Additional information 4 Select this option to access the Order header, Additional information 4 panel.
Disc Select this option to view the order header discounts (i.e. discounts from Sales pricing methods of type H or of type O).
Order settlement Select this option to access the Order settlements panel where you can view the settlements for an order, e.g., a summary of all amounts and fees for a sales order and payment details.
Held reasons Select this option to view the reasons for a held order.
Rel trans Select this option to access the Order related transactions enquiry where you are able to view all order related transactions for an order number.
Line connections Select this option to access the line connections of the sales order.
SMS rebates This option is only allowed if the order type for the order is defined for SMS rebates. Select this option to access the SMS rebate transactions panel to view the SMS rebates for the order.
Lost sales Select this option to access the Lost sales panel where you can view any lost sales order lines for the order.
Promotion trans Selection this option to view sales promotion transactions for the order.

Header view / Line view / Job view Toggle between viewing the order header view, order line view and the service jobs view. The Job view function key is only displayed if DC1 Service is activated and installed, and you accessed the Service order enquiry.
Orders in error / Orders not in error Toggle between viewing sales or service orders in error and not in error. Note: If you click this function key in order line mode, the panel will toggle between displaying order lines in error and order lines not in error.
More selections Perform an advanced search over what orders to display on this panel.

Selection fields

Order
This column displays the sales order number/service order number.
Customer
This column displays the customer number of the sales order/service order.
Handler
This column displays the order handler code, from the Work with signatures file, denoting the person at your company who handles the sales order/service order.
Status
This column displays the sales order/service order header status.

The status codes for sales orders/service orders are:

Status Description
00 Order lines have not been entered on the order.
10 The order contains at least one order line that is ready to be printed on a sales order confirmation.
20 The order contains at least one order line that is ready to be printed on a pick list.
30 The order contains at least one order line for which a pick list has been printed and that is ready for pick list confirmation.
40 The order contains at least one order line that is ready to be printed on a transport note.
45 The order contains at least one order line that is ready to be printed on an invoice.
50 Orders that have been processed for invoice but not yet ready to be printed due to periodic invoicing or invoice calendar.
60 All order lines have been invoiced.
Order type
This column displays the sales order type of the order.
Order date
This column displays the date when the order was entered into the system.
Order value
This column displays the total value of the order lines, after deduction of the discount(s), and includes VAT (if applicable to the order). Free of charge order lines are not included in this value.
Salesman
This column displays the salesman for the order.
Description OT
This column displays the description of the order type.
Terms of delivery
This column displays the terms of delivery code defined for the customer on the order.
Description TOD
This column displays the description of the terms of delivery code.
Manner of transport
This column displays the manner of transport code for the order.
Description MOT
This column displays the description of the manner of transport code.
Total amt excl VAT
This column displays the total amount excluding VAT, not yet invoiced, in order currency.
VAT amount
This column displays the VAT amount, not yet invoiced, in order currency.
Total amt incl VAT
This column displays the total amount including VAT, not yet invoiced, in order currency.
Inv amt incl VAT
This column displays the invoiced amount including VAT in order currency. The invoiced amount also includes invoiced lines.
Inv amt excl VAT
This column displays the invoiced amount excluding VAT in order currency. The invoiced amount also includes invoiced lines.
Inv VAT amt
This column displays the invoiced VAT amount in order currency. The invoiced amount also includes invoiced lines.
Debtor
This column displays the number of the debtor, i.e. the customer who is paying the invoice.
Primary curr
This column displays the order currency.
Exchange rate
This column displays the exchange rate used when the order was created.
Terms of payment
This column displays the terms of payment code defined for the customer on the order.
Description TOP
This column displays the description of the terms of payment code.
Credit days
This column denotes the number of credit days allowed before which the invoice must be paid.
Language
This column displays the language code denoting the language in which external documents, (e.g., order confirmation, invoice, etc), should be printed.
Cash sales
This column the denotes if the order is of type cash sales.
Internal order
This column denotes if the order is an internal order.
To warehouse
This column displays the receiving warehouse for an internal order.
MDC code
This column denotes if the order is of type MDC in a supplying company.
To company
This column displays the receiving company if the order is of type MDC in a supplying company.
End customer
This column displays the end customer in demanding company if the order is of type MDC in a supplying company.
Demand company handler
This column displays the handler in demanding company if the order is of type MDC in a supplying company.
Demand company handler name
This column displays the name of the handler in demanding company if the order is of type MDC in a supplying company.
Demand company salesman
This column displays the salesman in demanding company if the order is of type MDC in a supplying company.
Demand company salesman name
This column displays the name of the salesman in demanding company if the order is of type MDC in a supplying company.
Delivery schedule
This column denotes if the order originates from an inbound delivery schedule.
Delivery schedule no
This column displays the inbound delivery schedule number.
Claim order type
This column is only displayed if the DC1 Supplier Marketing Support (SMS) application is installed and activated. Indicates if the order is to be used when claiming the rebate amount from rebate payers.
Cost centre
This column displays the cost centre.
Division
This column displays the division.
Order property code
This column is only available to display via the Edit columns feature if the Order property functionality is activated in the DIS control file. Displays a code from Work with order properties. Note: You can, at any time, access Work with order properties to view or change the code configuration. Any changes will dynamically affect all orders to which the code is assigned. See Setting up the order property functionality for more information.
Supplier
This column displays the supplier number. This is used in conjunction with the Supplier order ref column (below). There are some cases in which a cross-reference must be made between a sales order and a supplier order (i.e. this can be useful for tracking commissions and for following-up on the order).
Supplier order ref
This column displays the supplier order number. This is used in conjunction with the Supplier column (above). There are some cases in which a cross-reference must be made between a sales order and a supplier order (i.e. this can be useful for tracking commissions and for following-up on the order).
Customer name
This column lists the customer name.
Customer reference
This column lists the name of the contact person for this order.
Your order
This column displays the customer-defined purchase order number.

For Pharma US installations, this reference is the DEA order form number for the ARCOS functionality and is mandatory if the order holds item(s) classified as narcotics (i.e. a narcotic category is connected to the item, and the DEA order form no field is set to YES on the narcotic category). Text
This column denotes if text is defined on the order header.
Hold order
This column denotes if the order is held.
Order held reason code
This column displays a code denoting the reason why the order is held. If the order is held due to several reasons, ‘++’ is displayed.
Error code
This column is applicable in Orders in error mode and displays a code denoting for which level errors exist.

The following panel values can be displayed in this column:

Code Description
H Error was found on Order header level
A Error was found on Address level
J Error was found on Service order job level
L Error was found on Order line level
Inventory contract
Only displayed if DC1 Contract Managed Inventory (CMI) is activated. This column lists the inventory contract defined for the sales order header. See About consuming goods from Contract Managed Inventory (CMI) for links to specific instructions per inventory contract type.
Simulation order
This column denotes if the order type on the sales order is for a simulation (i.e. like a normal sales order but without any updates performed). When creating a new sales order, an Order simulation function key is available allowing the user to switch to simulation mode.
Project
Only displayed if DC1 Manufacturing and DC1 Project are installed and activated. This column displays a project number from the Project file denoting the project to which this sales order is connected. The project id is the combination of Project, Phase and Cost code.
Phase
Only displayed if DC1 Manufacturing and DC1 Project are installed and activated. This column displays a phase from the Project file denoting the phase of the project to which this sales order is connected.
Cost code 1
Only displayed if DC1 Project is installed and activated. This column displays cost code 1 to which the sales order is connected. The cost code is part of the project id, together with Project and Phase and is used to total up cost price and reported values on the project.
Cost code 2
Only displayed if DC1 Project is installed and activated. This column displays cost code 2 to which the sales order is connected. The cost code is part of the project id, together with Project and Phase and is used to total up cost price and reported values on the project.
Earliest line dispatch date
This column displays the earliest dispatch date for any open (non-shipped) line on the order.
Promised date
This column displays the date when the order was promised to be dispatched.
Delivery date
This column displays the date when the goods will be delivered to your customer.
Requested delivery date
This column displays the delivery date that was requested by the customer.
Del addr name
This column displays the name on the delivery address.
Del addr 1
This column displays the information on the first line of the delivery address.
Del addr 2
This column displays the information on the second line of the delivery address.
Del addr 3
This column displays the information on the third line of the delivery address.
Del addr 4
This column displays the information on the fourth line of the delivery address.
Del addr postal
This column displays the postal code of the delivery address.
Del addr country
This column displays the country code of the delivery address.
Del addr county
This column displays the county code of the delivery address.
Del addr st/prov
This column displays the state/province of the delivery address.
Inv addr name
This column displays the name on the invoice address.
Inv addr 1
This column displays the information on the first line of the invoice address.
Inv addr 2
This column displays the information on the second line of the invoice address.
Inv addr 3
This column displays the information on the third line of the invoice address.
Inv addr 4
This column displays the information on the fourth line of the invoice address.
Inv addr postal
This column displays the postal code of the invoice address.
Inv addr country
This column displays the country code of the invoice address.
Inv addr county
This column displays the county code of the invoice address.

Options

Display Select this option to access view the detailed order line information.
All lines for order / All lines for job Select this option to view all lines for the sales order or the service job.
Text Select this option to view the text defined for the order line.
Addresses Select this option to view the address information for the order.
Header Select this option to view the header information for the order.
Profit Select this option to view the order line profit.
Net price calc Select this option to view the net price calculation details.
Batches This option is only allowed if the item is batch controlled. Select this option to view the batch information for the order line.
Serial no This option is only allowed if the item is serial number controlled. Select this option to view the serial number information for the order line.
PO enquiry This option is only allowed if the order line is of type BtB (direct or transit). Select this option to view the connected purchase order line.
Route restrict This option is only allowed if the order is defined for shipment preparation. Select this option to view the route restrictions for the item on the order line.
MFG order This option is only allowed if the MFG application is activated and the order line has a manufacturing order line connection. Select this option to view the connected manufacturing order.
Configuration This option is only allowed if the Item class for the item is set to 3 in Work with items, and the order line is connected to a manufacturing order. Select this option to view the product configuration.
Allocation log This option is only allowed if the order is defined for Firm allocation. Select this option to view the allocation log records.
Service info This option is only displayed if the DC1 Service application is activated and if the order line is for a service order. Select this option to view service information for the order line.
Main information Select this option to access the Order line, Main information panel.
Additional information 1 Select this option to access the Order line, Additional information 1 panel.
Additional information 2 Select this option to access the Order line, Additional information 2 panel.
Additional information 3 Select this option to access the Order line, Additional information 3 panel.

Line conn Select this option to access the Line connections enquiry. Note: Only valid if the selected order line is a parent, component, base, FOC item, back order or warehouse split line.
SMS rebates This option is only allowed if the order is defined for SMS rebates. Select this option to view the SMS rebates for the order line.
Rebate trans overview This option is only allowed if rebate transactions exist for the order line. Select this option to view the rebate transactions for the order line.
Catch weight This option is only allowed for items defined for catch weight. Select this option to view the catch weight details for the order line.
PCM project link This option is only displayed if the PCM application is activated. Select this option to view the PCM project link.

Selection fields

Item
This column displays the item and description. Note: If the panel is set up to view customer item codes, the column will be titled Cust item and display the customer item code and description set up using the Item cross references function.
Order
This column displays the sales order number.
Line
This column displays the order line number.
Status
This column lists the status of the order line.

The status codes for the order lines are:

Status Description
10 The order line has been entered into the system and is ready for printing on an order confirmation.
18 The order line has been entered with a delivery date that is later than today’s date, and will be printed on a direct print pick list.
20 The order line is ready for printing on a pick list.
30 The pick list has been printed for this line and is ready for pick list confirmation.
40 The order line is ready for printing on a transport note.
45 The order line is ready is ready to be invoiced.
50 The invoice for this line is being processed but not yet ready to be printed due to periodic invoicing or invoice calendar.
60 The invoice has been printed for this line.
Dispatch date
This column indicates the date when the order line must be dispatched.
Hold
This column denotes that held order lines exist on the order. The order is held on line level, meaning that order lines that are not held can be processed. The reasons can be:

  • Credit limit exceeded
  • Sales restriction
  • Manual hold
  • Preliminary manufacturing order created
Whs
This column displays the code from the Warehouse table denoting the warehouse from which the item should be delivered.
Order type
This column displays the sales order type of the order.
Backlog
This column displays the backlog code from any of the following:

  • Item (Item file)
  • Handling status table
  • Sales order type on the order (Sales order type table)

The backlog setting denotes if a back order is allowed for this order line. If set to YES, the order line will become a back order at pick confirmation or at invoicing. If set to NO, a back order will not be created even if the order line is not delivered in full. This code, however, can be overridden during Pick list confirmation.

Item/Description
This column displays the item code and description concatenated.
Item description
This column displays the description of the item.
Sales unit
This column displays the sales unit for the item.
Ordered qty
This column displays the ordered quantity in sales unit. If the unit is equal to the D/E-unit for the item, this quantity could display two units in the same quantity field. The partial units could be displayed with decimal positions for the Display/Entry unit or by a dual display/entry of both the Display/Entry unit and the Stock unit separated by a user-defined delimiter. See About display/entry unit handling for more information.
Confirmed qty
This column displays the confirmed quantity in sales unit. If the unit is equal to the D/E-unit for the item, this quantity could display two units in the same quantity field. The partial units could be displayed with decimal positions for the Display/Entry unit or by a dual display/entry of both the Display/Entry unit and the Stock unit separated by a user-defined delimiter. See About display/entry unit handling for more information.
Orig status
This column displays the first status the order line received when it was created.
Backlogged
This column is set to YES if the line has been backlogged.
Link type
This column displays the link type denoting what kind of line is displayed, i.e. Parent or Component, FOC base or FOC item line. See Link types for more information.
Matrix
This column is set to YES for those order lines on which the item is a matrix item.
Sales price ord curr
This column displays the gross sales price of the item in order currency.
Prc unit
This column is only displayed if the PRCUNIT (Price unit handling) function is activated in the Function control file. Displays the unit in which the price is presented. See About price unit handling for more information.
Currency
This column displays the currency for the order.
Price code
This column displays the price code denoting how the sales price was established. The price code is defined in the Item price code table.
Price code description
This column displays the description of the price code.
VAT incl
This column denotes if VAT is included in the sales price.
Net sales prc VAT excl ord curr
This column displays the net sales price (VAT excluded) in order currency.
Disc ID
This column displays the discount id, holding the reason for the discount, that was assigned to the discount amount or discount percentage. If multiple line discounts exist, this is identified by the panel value *MULT in this column. Tip: Click the Discounts option to view the discount information for the line.
Dis amount
This column displays the accumulated discount amount in transaction currency or accumulated discount percentage applied on the line. These do not include header discounts. Tip: Click the Discounts option to view the discount information for the line.
Disc %
If a discount percentage or multiple discount percentages were applied on the line, this column displays the accumulated discount percentage. Multiple discounts are identified by the panel value *MULT in the Discount ID field. Tip: Click the Discounts option to view the discount information for the line.
FOC
This column denotes if the order line is free of charge.
Net sales prc disc excl ord curr
This column displays the net sales price for the line when all line discounts are withdrawn. (Header discounts have not been withdrawn.) The net line sales price is displayed in transaction (order) currency.
Net amount ord curr
This column displays the net line amount that has been decreased with any line discounts, but excluding header discounts, in order currency and is calculated as:

Net sales price on order line * quantity

Note: If the net line price is negative the line will automatically be put on hold. See Fix negative prices for more information.

Note: This column can only display a maximum of 10 positions, including any decimal point. If the amount exceeds this value, this column will display the last 10 positions in the amount. However, the database will be updated correctly.

Net sales prc disc excl sys curr
This column displays the net sales price for the line when all line discounts are withdrawn. (Header discounts have not been withdrawn.) The net line sales price is displayed in system currency.
Net amount sys curr
This column displays the net line amount that has been decreased with any line discounts, but excluding header discounts, in system currency and is calculated as:

Net sales price on order line * quantity

Note: If the net line price is negative the line will automatically be put on hold. See Fix negative prices for more information.

Note: This column can only display a maximum of 10 positions, including any decimal point. If the amount exceeds this value, this column will display the last 10 positions in the amount. However, the database will be updated correctly.

Total amt excl VAT
This column displays the total amount in system currency excluding VAT.
VAT amount
This column displays the VAT amount in system currency.
Total amt incl VAT
This column displays the total amount in system currency including VAT.
SMS rebate total
This column displays the total SMS rebate for the order line. Only applicable if the DC1 Customer/Supplier Rebates (RBT) application is installed and activated.
Rebate calc
This column denotes if the order line is defined for rebate calculation. Only applicable if the DC1 Customer/Supplier Rebates (RBT) application is installed and activated.
Expected rebate amount
This column displays the expected rebate amount for a sales order line. Only applicable if the RBT-SOE (Rebate calculation at SO entry) function is activated in the Function control file.
Sales order prio
This column displays the code from the Sales order priority table denoting the priority of the sales order line. Order lines with priority 1 have higher priority than lines with priority 2, etc.
Back order prio
This column displays the back order priority code for the sales order line. In the event of a shortage in stock the back order deliveries can be dispatched via the Work with sales order allocation routine according to their priority.
Held
This column denotes if the order line is held from further processing. If set to YES, the value below the Reason column heading denotes the reason why the order line is being held.
Reason
This column denotes the reason for the order line being held.

The following order held reason codes are preloaded in the system:

Text
This column denotes if text has been defined on the order line. Click the Text option to view the text.
EDI created
This column is set to YES if the order line is created via Data Interchange (i.e. the order line is part of an EDI order that the customer has sent).
Line addr
This column displays the line specific delivery address number, if one has been defined.
Line MOT
This column displays the line specific manner of delivery code. This MOT code will only be displayed if it differs from the MOT on the sales order header.
Line TOD
This column displays the line specific terms of delivery code. This TOD code will only be displayed if it differs from the TOD on the sales order header.
Promised date
This column displays the date when the order was promised to be dispatched.
Delivery date
This column displays the date when the goods will be delivered to your customer.
Req del date
This column displays the delivery date that was requested by the customer.
Pick list no
This column displays the pick list number if the order line has been printed on a pick list.
Pick list line
This column displays the pick list line number if the order line has been printed on a pick list.
Transport note no
This column displays the transport note number if the order line has been printed on a transport note.
Pack reported
This column denotes if pack reporting has been performed for the order line.
Route
This column displays the delivery route that was defined for this sales order.
Departure
This column denotes the point of departure of the route.
Destination
This column displays the destination at your customer.
Shipment no
This column displays the shipment number if the order line is part of a shipment.
Shipment marking
This column displays the text for shipment marking.
Order property
Only displayed if the Order property functionality is activated in the DIS control file. The code is retrieved from Work with order properties. See Setting up the order property functionality for more information.
Nature of trans
Only applicable if the EU reporting function is activated. This column denotes the nature of transaction used in the reporting of EU statistics.
Commodity code
Only applicable if the EU reporting function is activated. This column displays the commodity code for the item.
Gross weight
This column displays the gross weight of the item on the order line.
Net weight
This column displays the net weight of the item on the order line.
Gross volume
This column displays the gross volume of the item on the order line.
Net volume
This column displays the net volume of the item on the order line.
Supplier
This column displays the supplier of the item and BtB purchase order.
Purchase order type
For BtB purchase orders, this column displays the connecting purchase order type.
Transit
Only applicable for BtB orders. This column denotes if the order line is a BtB order line with a transit delivery (i.e. the order line will be delivered from the supplier to your transit stock and then to the customer).
Direct
Only applicable for BtB orders. This column denotes if the order line is a BtB order line with a direct delivery (i.e. the order line will be delivered directly from the supplier to the customer).
Purchase order no
Only applicable for BtB orders. This column displays the purchase order number that was generated from the connecting order.
Purchase order line
Only applicable for BtB orders. This column displays the line number of the purchase order and purchase order line.
Btb PO sts
Only applicable for BtB orders. This column lists the statuses of the BtB purchase orders associated with the corresponding sales orders.
Con
This column displays the type of connection to another order.

The following panel values can be displayed in this column:

M Manufacturing order
D BtB direct purchase order
T BtB transit purchase order
Con prod order
This column is set to YES if the order line is connected to a manufacturing order.
MDC SO nbr
Only applicable for MDC orders. This column lists the MDC sales order numbers associated with the corresponding sales order. If this is an MDC order and the column is being viewed by the MDC demanding company, this column displays the corresponding sales order number (generated from this sales order) in the MDC supplying company.
If this column is being viewed by the MDC supplying company, this column displays the corresponding sales order number (that generated this sales order) in the MDC demanding company.
MDC SO lin
Only applicable for MDC orders. This column lists the MDC sales order lines associated with the corresponding sales order. If this column is being viewed by the MDC demanding company then the order line number in the MDC supplying company is displayed. If this column is being viewed by the MDC supplying company then the sales line order number in the MDC demanding company is displayed.
MDC PO nbr
Only applicable in the MDC supplying company for MDC orders. This column displays the purchase order number in the MDC demanding company.
MDC PO lin
Only applicable in the MDC supplying company for MDC orders. This column displays the purchase order number in the MDC demanding company.
MDC SO sts
Only applicable for MDC orders. This column, which is only applicable for MDC order types by the MDC demanding company, lists the sales order line status in the MDC supplying company.
Mfg order nbr
Only applicable for Manufacturing orders. This column lists the manufacturing order numbers associated with the corresponding sales orders.
Mfg order sts
Only applicable for Manufacturing orders. This column lists the manufacturing order statuses associated with the corresponding sales orders.
MDC/MFG order nbr

MDC/MFG order sts
Only applicable for MDC Manufacturing orders. This column lists the statuses of the MDC manufacturing orders associated with the corresponding sales order.
Inventory contract
Only applicable if DC1 Contract Managed Inventory (CMI) is activated. This column lists the inventory contract to which the sales order line is connected. See About consuming goods from Contract Managed Inventory (CMI) for links to specific instructions per inventory contract type.
Recommended qty
Only applicable for service orders. This column displays the recommended quantity which is the quantity that will be used as the quantity to invoice, if Fixed price parts (applies for spare parts) or Fixed price service item (applies for service items) is set to YES.
Actual qty
Only applicable for service orders. This column displays the actual quantity which is the quantity that will used as the quantity to invoice, if Fixed price parts (applies for spare parts) or Fixed price service item (applies for service items) is set to NO.
Debit
Only applicable for service orders. This column displays the debit code defined for the service order line. If a debit code is entered, the order line is considered as being internal. This means that the debtor and invoice customer on the invoice generated from the order line will be the internal customer defined for the debit code in the Debit code table.
Causing part
Only applicable for service orders. This column, which is only for informational purposes, denotes if this is the spare part that required the object to be serviced (causing part).
NDC item code
This column is only available to display via the Edit columns feature for Pharma US installations and is applicable for the ARCOS functionality and the ePedigree functionality.

For the ARCOS functionality, this column displays the NDC item code if the purchase order line is for an item that has been classified as a narcotic item. See About the ARCOS functionality (Pharma US) for more information.

For the ePedigree functionality, this column displays the NDC item code if the purchase order line is for a batch/date controlled item that has been activated for ePedigree tracking. See About the ePedigree functionality (Pharma US) for more information.

Invoice quantity
This column is only available to display via the Edit columns feature if the Bonus pricing policy parameter is set to YES in the DIS control file. If the same item bonus functionality is set up in the system and the setup stipulations are met for the item on the order line, the quantity that is invoiced to the customer will be less than the ordered quantity for the item. This column displays the quantity that will be invoiced for this order line. If nothing is displayed in this column, the order quantity will be invoiced.

Order
This column displays the order number to which the job belongs.
Job
This column displays the job number within the order.
Item
This column displays the item number on the job if service object is defined as mandatory on the order type (Object handling). Otherwise, this field is blank.
Serial number
This column displays the serial number on the job. This field is blank if serial number is defined as optional on the order type (Object handling).
Description
This column displays the description of the item of the order.
Customer
This column displays the customer of the order.
Customer name
This column displays the name of the customer of the order.
Requested service date
This column displays the requested service date.
Requested service time
This column displays the requested service time.
Engineer
This column displays the engineer responsible for performing the job.
Name of engineer
This column displays the name of the job engineer.
Recommended kit
This column displays a code from Work with recommended kits denoting the action that needs to be taken for the job.
Agreement
This column displays the service agreement connected to the job object, if such an agreement exists.
Closed
This column denotes if the order has been closed.
Order status
This column displays the order status.
Calling date
This column displays the date when the customer contacted your company requiring the service job.
Calling time
This column the time when the customer contacted your company requiring the service job.
Warranty
This column displays the supplier warranty code, if such a code exists.

This column displays the location of the job.
Order type

Response time
This column only applies for agreement orders. The response time indicates within which time span your company has promised to reply to the customer as defined for the object in the Agreement file.
Completion time
This column only applies for agreement orders. The completion time indicates within which time span your company has promised to complete the servicing of the object as defined in the Agreement file.
Service code 1-4
The lead texts for these four columns depend on the text defined for the corresponding service code in the Service code table. Each activated column lists the applicable service code denoting the type of work that needs to be done on the related object.
Service order priority
This column displays a priority code from Work with sales order priority codes denoting the priority of the job. Valid codes are 1-9, where 1 is the highest priority.
Debtor
This column displays the debtor of the order.
Debtor name
This column displays the name of the debtor of the order.
Address number
This column displays the debtor’s first address line.
Delivery address name
This column displays the delivery address.
Address 1-3
These three columns display the address number 1, 2, or 3 as specified for the customer of the order.
Postal code
This column displays the postal code of the related address number.
City

The title differs depending on your enquiry program selection.

The panel’s structure is designed to allow you to quickly navigate through all levels of information for a sales quotation/service quotation. On this panel you can do the following:

  • Toggle between Quotation header and Quotation line, and Service jobs mode to view different information, while remaining on the same panel.
  • Toggle between Quotations not in error and Quotations in error mode to view quotations with or without line errors.
  • In Quotation line mode, change the layout of this panel via the entered selection criteria of Customer or Item to view just those quotation lines for the customer or item.
  • Immediately access the following information: Addresses, Quotation header, Quotation lines and Detailed quotation line information.

Options

Display Select this option to access the Quotation header, Main information 1 panel.
Lines Select this option to access the Complete quotation panel to view all lines for the quotation.
Text Select this option to access the Display text panel to view the text defined for the quotation header.
Addresses Select this option to access the Addresses panel to view the address information for the quotation.
Profit Select this option to view profit margin information for the quotation. Quotation
This column displays the sales quotation number.
Version
This column displays the version number, if any, of the sales quotation.
Quote type
This column lists the sales quotation type.

The following panel values can be displayed in this column:

1 The quotation normally results in an order when the quotation is accepted.
2 The quotation normally results in a contract.
3 This quotation type is used to identify a service quotation and can only be specified if DC1 Service is installed and activated.
Order type
This column lists the sales order type used for the sales quotation.
Customer
This column lists the customer number of the sales quotation.
Handler
This column lists the handler of the sales quotation.
Value
This column displays the total value of the sales quotation lines, after deduction of quotation header discount, and including VAT (if applicable). Free-of-charge quotation lines are not included.
Exp date
This column lists the expiry date of the sales quotation, i.e. last date for which the quotation is valid.
Order sts
This column displays the sales quotation order header status.

This column displays the number of the debtor, i.e. the customer who is paying the invoice.

This column lists the terms of payment code.
Description TOP
This column displays the description for the terms of payment code.
Credit days
This column lists, if any, the number of credit days allowed before which the invoice must be paid.
Language
This column displays the language code denoting the language in which external documents, (e.g., order confirmation, invoice, etc), should be printed.
Cost centre
This column is only applicable if the cost centre account part (in DC1 Financials) is activated. The cost centre handling function is only used for external orders.

Indicates the cost centre that was entered on the initial Work with sales orders panel. If a value was not entered, the cost centre is retrieved according to the following:

  • If a cost centre has been defined in the Signature table for the user that is entering the sales order, that code will be retrieved.
  • If a cost centre has been defined for the customer in the Business partner file (A/R basic data panel), that code will be retrieved.
  • If a cost centre has been defined in both the Signature table and the Business partner file the default value will be retrieved from the Signature table. The cost centre can be changed. Enter a code from the Account file indicating the cost centre to assign to the sales order.

Note: A security check will be performed to verify if the user is authorised to enter the cost centre.

Order property code
This field is only displayed if the Order property functionality is activated in the DIS control file. Enter a code from Work with order properties. Note: You can, at any time, access Work with order properties to view or change the code configuration. Any changes will dynamically affect all orders to which the code is assigned. See Setting up the order property functionality for more information.
Supplier no
Mandatory entry if the Supplier ref mand field is set to YES for the sales order type being used on this sales quotation. There are some cases in which a cross-reference must be made between a sales quotation and a supplier order (i.e. this can be useful for tracking commissions and for following-up on the quotation). Displays the supplier number.
Supplier order ref
Mandatory entry if the Supplier ref mand field is set to YES for the sales order type being used on this sales quotation. There are some cases in which a cross-reference must be made between a sales quotation and a supplier order (i.e. this can be useful for tracking commissions and for following-up on the quotation). Displays the supplier order number.
Customer name
This column displays the customer name.
Customer reference
This column lists the name of the contact person for this sales quotation.
Your order
This column lists the name of the contact person for this sales quotation.
T
This column denotes if text is defined on the sales quotation header.
Hold order
The following panel values can be displayed in this column:

Code Description
O Indicates that the whole quotation is held from further processing and that held lines exist on the quotation. The quotation is held on order level, meaning that no lines will be processed in, e.g., the pick list printout.
L Indicates that held quotation lines exist on the quotation. The quotation is held on line level, meaning that quotation lines that are not held can be processed.

The value below the Order held reason code column heading denotes the reason of the quotation being held.

Order held reason code
If either O or L is displayed below the Hold order column heading, this column from the Order held reason code table denotes the reason of the quotation or quotation line(s) being held.

The following order held reason codes are pre-loaded in the system and are applicable for quotations:

Note: All pre-loaded order held reason codes can be protected through the Authority control handling in SECUR.

Code Description
01 The customer’s total balance has exceeded their credit limit.
03 The quotation is held due to the credit stop code defined in the Business partner file.
20 The quotation is held due to overdue invoices.
30 Sales restrictions exist.
40 The net sales price calculation has yielded a negative value.
51 The quotation is manually held after having contacted the customer.
CU The customer has been contacted.
HO The quotation has been manually held.
Error code
This code is only displayed when working in Work with sales quotation in error mode. If an error was found during the copy process, the quotation is created but cannot be processed further until the error is corrected. This column lists the panel value indicating where the error was found.

The following codes could be displayed:

L Error was found on line level.
H Error was found on header level.
A Error was found on address level.
J Error was found on service job level.

Select the applicable option to drill down to the applicable level to correct the error.

Simulation quote
This column denotes if the order type on the sales quotation is for a sales quotation simulation (i.e. like a normal sales quotation but without any updates performed). When creating a new sales quotation, a Quotation simulation function key is available allowing the user to switch to simulation mode.
Promised date
This column displays the date when the order was promised to be dispatched.
Delivery date
This column displays the date when the goods will be delivered to your customer.
Requested delivery date
This column displays the delivery date that was requested by the customer.
Del addr name
This column displays the delivery address.
Del addr 1-4
These four columns display the delivery address number 1, 2, 3 or 4 as specified for the customer of the quotation.
Del addr postal
This column displays the postal code of the related delivery address number.
Del addr country
This column displays the country code of the related delivery address number.
Del addr county
This column displays the county code of the related delivery address number.
Del addr St/Prov
This column displays the state/province code of the related delivery address number.
Inv addr name
This column displays the invoice address.
Inv addr 1-4

Orig status
This column displays the first status the quotation line received when it was created.
Backlog
This column displays the backlog code from any of the following:

  • Item (Item file)
  • Handling status table
  • Sales order type on the order (Sales order type table)

The backlog setting denotes if a back order is allowed for this quotation line. If set to YES, the quotation line will become a back order at pick confirmation or at invoicing. If set to NO, a back order will not be created even if the quotation line is not delivered in full. This code, however, can be overridden during Pick list confirmation.

Backlogged
This column is set to YES if the line has been backlogged.
Link type
This column displays the link type denoting what kind of line is displayed, i.e. Parent or Component, FOC base or FOC item line. See Link types for more information.
Matrix
This column is set to YES for those quotation lines on which the item is a matrix item.
Sales price ord curr
This column displays the gross sales price of the item in order currency.
Price unit
This column is only displayed if the PRCUNIT (Price unit handling) function is activated in the Function control file. Displays the unit in which the price is presented. See About price unit handling for more information.
Currency
This column displays the currency for the quotation.
Price code
This column displays the price code denoting how the sales price was established. The price code is defined in the Item price code table.
Price code description
This column displays the description of the price code.
VAT incl
This column denotes if VAT is included in the sales price.
Net sales prc VAT excl ord curr
This column displays the net sales price (VAT excluded) in order currency.
Disc ID
This column displays the discount id, holding the reason for the discount, that was assigned to the discount amount or discount percentage. If multiple line discounts exist, this is identified by the panel value *MULT in this column. Tip: Click the Discounts option to view the discount information for the line.
Dis amount
This column displays the accumulated discount amount in transaction currency or accumulated discount percentage applied on the line. These do not include header discounts. Tip: Click the Discounts option to view the discount information for the line.
Disc %
If a discount percentage or multiple discount percentages were applied on the line, this column displays the accumulated discount percentage. Multiple discounts are identified by the panel value *MULT in the Discount ID field. Tip: Click the Discounts option to view the discount information for the line.
FOC
This column denotes if the quotation line is free of charge.
Net sales prc disc excl ord curr
This column displays the net sales price for the line when all line discounts are withdrawn. (Header discounts have not been withdrawn.) The net line sales price is displayed in transaction (order) currency.
Net amount ord curr
This column displays the net line amount that has been decreased with any line discounts, but excluding header discounts, in order currency and is calculated as:

Net sales price on order line * quantity

Note: If the net line price is negative the line will automatically be put on hold. See Fix negative prices for more information.

Note: This column can only display a maximum of 10 positions, including any decimal point. If the amount exceeds this value, this column will display the last 10 positions in the amount. However, the database will be updated correctly.

Net sales prc disc excl sys curr
This column displays the net sales price for the line when all line discounts are withdrawn. (Header discounts have not been withdrawn.) The net line sales price is displayed in system currency.
Net amount sys curr
This column displays the net line amount that has been decreased with any line discounts, but excluding header discounts, in system currency and is calculated as:

Net sales price on order line * quantity

Total amt excl VAT
This column displays the total amount in system currency excluding VAT.
VAT amount
This column displays the VAT amount in system currency.
Total amt incl VAT
This column displays the total amount in system currency including VAT.
SMS rebate total
This column displays the total SMS rebate for the quotation line. Only applicable if the DC1 Customer/Supplier Rebates (RBT) application is installed and activated.
Rebate calc
This column denotes if the quotation line is defined for rebate calculation. Only applicable if the DC1 Customer/Supplier Rebates (RBT) application is installed and activated.
Expected rebate amount
This column displays the expected rebate amount for a quotation line. Only applicable if the RBT-SOE (Rebate calculation at SO entry) function is activated in the Function control file.
Sales order prio
This column displays the code from the Sales order priority table denoting the priority of the quotation line. Quotation lines with priority 1 have higher priority than lines with priority 2, etc.
Back order prio
This column displays the back order priority code for the quotation line. In the event of a shortage in stock the back order deliveries can be dispatched via the Work with sales order allocation routine according to their priority.
Hld
This column denotes if the quotation line is held from further processing. If set to YES, the value below the Reason column heading denotes the reason why the quotation line is being held.
Reason
This column denotes the reason for the quotation line being held.

The following order held reason codes are pre-loaded in the system and are applicable for quotations:

Note: All pre-loaded order held reason codes can be protected through the Authority control handling in SECUR.

Code Description
01 The customer’s total balance has exceeded their credit limit.
03 The quotation is held due to the credit stop code defined in the Business partner file.
20 The quotation is held due to overdue invoices.
30 Sales restrictions exist.
40 The net sales price calculation has yielded a negative value.
51 The quotation is manually held after having contacted the customer.
CU The customer has been contacted.
HO The quotation has been manually held.
Text
This column denotes if text has been defined on the quotation line. Click the Text option to view the text.
EDI created
This column is set to YES if the quotation line is created via Data Interchange (i.e. the order line is part of an EDI order that the customer has sent).
Line addr
This column displays the line specific delivery address number, if one has been defined.
Line MOT
This column displays the line specific manner of delivery code. This MOT code will only be displayed if it differs from the MOT on the sales quotation header.
Line TOD
This column displays the line specific terms of delivery code. This TOD code will only be displayed if it differs from the TOD on the sales quotation header.
Promised date
This column displays the date when the quotation was promised to be dispatched.
Delivery date
This column displays the date when the goods will be delivered to your customer.
Req del date
This column displays the delivery date that was requested by the customer.
Route
Note: This column is not applicable until the quotation is copied to an order. A value in this field might exist, but it is not used for the quotation itself.
Departure
Note: This column is not applicable until the quotation is copied to an order. A value in this field might exist, but it is not used for the quotation itself.
Destination
Note: This column is not applicable until the quotation is copied to an order. A value in this field might exist, but it is not used for the quotation itself.
Shipment marking
Note: This column is not applicable until the quotation is copied to an order. A value in this field might exist, but it is not used for the quotation itself.
Order property
Only displayed if the Order property functionality is activated in the DIS control file. The code is retrieved from Work with order properties. See Setting up the order property functionality for more information.
Nature of trans
Only applicable if the EU reporting function is activated. This column denotes the nature of transaction used in the reporting of EU statistics.
Commodity code
Only applicable if the EU reporting function is activated. This column displays the commodity code for the item.
Gross weight
This column displays the gross weight of the item on the order line.
Net weight
This column displays the net weight of the item on the order line.
Gross volume
This column displays the gross volume of the item on the order line.
Net volume
This column displays the net volume of the item on the order line.
Supplier
Note: This column is not applicable until the quotation is copied to an order. A value in this field might exist, but it is not used for the quotation itself.
Purchase order type
Note: This column is not applicable until the quotation is copied to an order. A value in this field might exist, but it is not used for the quotation itself.
Transit
Note: This column is not applicable until the quotation is copied to an order. A value in this field might exist, but it is not used for the quotation itself.
Direct
Note: This column is not applicable until the quotation is copied to an order. A value in this field might exist, but it is not used for the quotation itself.
Recommended qty
Note: This column is not applicable until the quotation is copied to a service order. A value in this field might exist, but it is not used for the quotation itself. This column displays the recommended quantity which is the quantity that will be used as the quantity to invoice, if Fixed price parts (applies for spare parts) or Fixed price service item (applies for service items) is set to YES.
Actual qty
Note: This column is not applicable until the quotation is copied to a service order. A value in this field might exist, but it is not used for the quotation itself. This column displays the actual quantity which is the quantity that will used as the quantity to invoice, if Fixed price parts (applies for spare parts) or Fixed price service item (applies for service items) is set to NO.
Debit
Note: This column is not applicable until the quotation is copied to a service order. A value in this field might exist, but it is not used for the quotation itself. This column displays the debit code defined for the service order line. If a debit code is entered, the order line is considered as being internal. This means that the debtor and invoice customer on the invoice generated from the order line will be the internal customer defined for the debit code in the Debit code table.
Causing p
This column, which is only for informational purposes, denotes if this is the spare part that required the object to be serviced (causing part).
NDC item code
This column is only available to display via the Edit columns feature for Pharma US installations and is applicable for the ARCOS functionality and the ePedigree functionality.

For the ARCOS functionality, this column displays the NDC item code if the purchase order line is for an item that has been classified as a narcotic item. See About the ARCOS functionality (Pharma US) for more information.

For the ePedigree functionality, this column displays the NDC item code if the purchase order line is for a batch/date controlled item that has been activated for ePedigree tracking. See About the ePedigree functionality (Pharma US) for more information.

Invoice quantity
This column is only available to display via the Edit columns feature if the Bonus pricing policy parameter is set to YES in the DIS control file. If the same item bonus functionality is set up in the system and the setup stipulations are met for the item on the order line, the quantity that is invoiced to the customer will be less than the ordered quantity for the item. This column displays the quantity that will be invoiced for this order line. If nothing is displayed in this column, the order quantity will be invoiced.
Simulation quote
This column denotes if the order type on the sales quotation is for a sales quotation simulation (i.e. like a normal sales quotation but without any updates performed). When creating a new sales quotation, a Quotation simulation function key is available allowing the user to switch to simulation mode.

Header view / Line view / Job view Toggle between accessing the quotation header view, the quotation line view, and the service job view. The Job view function key is only displayed if DC1 Service is activated and installed.
Quotations in error / Quotations not in error Toggle between viewing quotations in error and not in error.
By req time Display the jobs in requested time sequence.
View control Access the View controls window. From this window you can, e.g., set up the number of text lines that should be displayed as well as define sequences and views.
Maintain program function Access Work with program function keys to work with the functions available in the program in which you are working.

Selection fields

Quotation
This column displays the quotation number to which the job belongs.
Version
This column displays the version number of the quotation to which the job belongs.
Job
This column displays the job number within the quotation.
Item
This column displays the item number on the job if service object is defined as mandatory on the order type (Object handling). Otherwise, this field is blank.
Serial number
This column displays the serial number on the job. This field is blank if serial number is defined as optional on the order type (Object handling).
Description
This column displays the description of the item on the quotation.
Customer
This column displays the customer of the quotation.
Customer name
This column displays the name of the customer of the quotation.
Requested service date
This column displays the requested service date.
Requested service time
This column displays the requested service time.
Engineer
This column displays the engineer responsible for performing the job.
Name of engineer
This column displays the name of the job engineer.
Recommended kit
This column displays a code from Work with recommended kits denoting the action that needs to be taken for the job.
Agreement
This column displays the service agreement connected to the job object, if such an agreement exists.
Closed
This column denotes if the quotation has been closed.
Order status
This column displays the quotation status.
Calling date
This column displays the date when the customer contacted your company requiring the service job.
Calling time
This column the time when the customer contacted your company requiring the service job.
Warranty
This column displays the supplier warranty code, if such a code exists.
Location
This column displays the location of the job.
Order type
This column displays the order type of the job.
Response time
This column only applies for agreement orders. The response time indicates within which time span your company has promised to reply to the customer as defined for the object in the Agreement file.
Completion time
This column only applies for agreement orders. The completion time indicates within which time span your company has promised to complete the servicing of the object as defined in the Agreement file.
Service code 1-4
The lead texts for these four columns depend on the text defined for the corresponding service code in the Service code table. Each activated column lists the applicable service code denoting the type of work that needs to be done on the related object.
Service order priority
This column displays a priority code from Work with sales order priority codes denoting the priority of the job. Valid codes are 1-9, where 1 is the highest priority.
Debtor
This column displays the debtor of the quotation.
Debtor name
This column displays the name of the debtor of the order.
Address number
This column displays the debtor’s first address line.
Delivery address name
This column displays the name on the delivery address.
Address 1-3
These three columns display the first, second and third line, respectively, of the delivery address.
Postal code
This column displays the postal code of the related address number.
City
This column displays the city of the related address number.
